This is the first and most important step in understanding your organization's goals, requirements, time lines and overall expectations. I become a member of your team understanding your target market, products and services as well as how to generate leads with your new or existing website. I believe your website should be a tool to initiate communication from those interested in what you have to offer.
The only thing you need to do is to set out the requirements in a way that creates a clear understanding of what the site will look like, what sort of content it will have, and what dynamic functionality is needed. What I am looking for at this stage is well defined sitemap, content of the website delivered in text format, short description of functionalities you want to have on the site.
From this point I will work with you to turn the initial brief into a full functional specification for your website. Then I will be able to produce a time frame and fixed price proposal which will set out what I will deliver.
All this will be nicely summarized in a design document which needs to be approved and signed by both sides.
